Notice of Special Club Meeting

Harpenden Colts FC will be holding a Special Club Meeting on Sunday 6th March at 7.30pm.

Development of a 3G pitch in Rothamsted Park:

At a number of Football Management Committee (FMC) meetings and Annual General Meetings (AGMs) over the last two years, the Club has notified members of our intentions to work with Harpenden Town Council and Harpenden Town Football Club to develop a new 3G artificial pitch in Rothamsted Park and associated clubhouse, applying for part-funding from the Football Foundation (The FA’s funding arm).

Harpenden Town Council and the Football Foundation have committed to a substantial financial contribution, covering the vast majority of costs in providing a new 3G football pitch and Community Clubhouse that will become a home for HCFC right in the heart of Harpenden. HCFC’s financial contribution to deliver this exciting project will be circa £100,000, which will be drawn from the Club’s reserves which have accumulated over a number of years.

After over 3 years of negotiations, we are now moving forward with those commitments, and within 6-9 months will need to commit the agreed amount of funds to the project.

The FMC is seeking members’ approval of this expenditure by vote at a Special Club Meeting, to be held via Zoom on Sunday 6th March 2022 at 7:30pm.

All members have received an extract of the relevant item from the Minutes of our 2021 AGM via email, which outlines the Club’s plans for this project and our financial commitment to it.

Hiring a paid Commercial & Operations Manager:

Managing the operations of one of the largest grassroots football clubs in the country is too great a job for volunteers alone. We currently have around 1,300 playing members and 350 volunteers running 85 squads across 10 different venues. Added to that, we are planning to grow significantly over the coming years as the additional 3G capacity in Rothamsted Park allows us to take a further 300 or so children off the waitlist. In addition to the operational demands that need managing on a daily basis, there are numerous commercial opportunities for the Club to consider which could fund improvements to the Club for its members.

The FMC has approved the recruitment of an a Commercial & Operations Manager, to manage:

(i) a wide range of operational matters including facilities, equipment, safeguarding administration and registrations; and
(ii) a commercial brief to generate revenues for the Club through sponsorship and other commercial arrangements such as tournaments, events, and also to ensure that the Club maximises grant funding from various bodies.

The FMC believes that the commercial opportunities for a club of our size are such that it is realistic for the role to fund itself within 2 years. The costs of the role will be further offset by increased subs revenues as the Club continues to grow.

The precise hiring arrangement – as employee, contractor or equivalent arrangement – will depend on the circumstances of the chosen individual. The FMC is seeking members’ approval of a total cost of hire to the Club of up to £35,000 per season (taking into account employer tax/NI contributions associated employment costs).
